Cutting Viewing No-Shows With WhatsApp Reminders and Self-Service Rescheduling
30 June 2026 · IQPilot Team

A booked viewing that nobody turns up to costs an afternoon. Confirmation on booking, a reminder the day before with directions, and a one-tap reschedule link do most of the work of fixing it.
Why people do not show up
Rarely because they changed their mind. Usually because they forgot, could not find the sales gallery, or something came up and rescheduling felt awkward. Each of those is a messaging problem, and each is fixable with a reminder that arrives on the channel they actually read.
Confirm immediately, remind the day before
When the AI books an appointment — or a customer uses your public booking page — send a WhatsApp confirmation with the date, time, address and a map pin. Use an Appointment Trigger workflow to send a reminder 24 hours before with parking directions and the agent's name and photo. Notification templates with variables make this a five-minute setup.
- Include a map link and parking tip
- Name the person they will meet
- Ask them to reply 'OK' — a reply is a commitment
Make rescheduling one tap
Every confirmation should carry the manage link for the booking. A customer who can move their slot in ten seconds will do that instead of silently not turning up. Resource Booking handles shared spaces such as show units and meeting rooms so two agents never double-book the same slot.
Close the loop
After the appointment time passes, a short workflow can ask 'How did the viewing go?' and label the lead accordingly — or, if the appointment was marked missed, offer two new slots. Track attendance in the Leads analytics against source and campaign; some ads produce lookers, others produce buyers, and the no-show rate tells you which.
